Sharing a Google Drive File using a Public Link

Overview

This guide will walk you through how to share a file from your Google Drive by creating a shareable public link. This link can be sent to whoever you want to share the file with.

Sharing a Google Drive File using a Public Link

Step 1: Access your Google Drive (follow instructions here)

Step 2: Select the file you wish to share

Step 3a: Click on share at the top right corner of the page if you are in a Google formatted file (e.g. Google docs, Google sheets, Google forms, etc.

If you are in a non-google formatted file, follow these instructions on how to access share options.

 

Step 3b: Right-click on the file in the Drive and select Share from the drop-down menu.

 

 

Step 4: In the pop-up that appears, click Change link to Nazareth College of Rochester.

IMPORTANT NOTE: A link setting displaying Nazareth College of Rochester or Nazareth College does not give everyone access! To make the file accessible to everyone, follow the steps below to update to Anyone with the link!

Step 5: A Get link window will appear, click on Nazareth College of Rochester and then select Anyone with the link from the menu. 

Step 6:  (optional) If you wish to allow anyone with the link to edit the document or sheet, click the Access field and select Editor from the drop-down menu.  

Step 7: Click Copy link to save the link to you computer clipboard. 

Step 8: Click Done when finished.

Sharing the Link using Email

Step 7: To send the link to individual(s), compose a new email in your Gmail account. 

Step 8: At the bottom of the email window, click the insert link icon (chain link image)

Step 9: Type in the text to display box the text that will appear in place of the link

Step 10: Right click and select paste in the link to box to insert the link you created. 

Step 11: Select OK.

Step 12: Finish writing the email and click send. Now the individuals receiving the link can click on it directly from the email that you send out.
